"We need a tool. But every tool looks the same. And we've already bought one we don't use."
Client's quote
Problem
There are too many tools. They all look useful, and vendor demos make everything seem easy. But demos show ideal situations and not your real workflows.
Without a clear way to compare options, it’s hard to know which tool will actually help, and which will waste your time and money.
A Software Selection Framework is a structured decision-making process used to evaluate, compare, and select software solutions based on business requirements, budget, risks, and implementation constraints. The goal is to understand your needs clearly and evaluate just enough to make a confident decision.
My Role
Whether you're selecting an HRIS, CRM, ERP, ATS, or other business software, the framework evaluates tools based on your data architecture, workflow automation, API capabilities, scalability, and actual business requirements.
I will help you understand your needs first — and then evaluate tools based on your real work:
Talk to people, who will use the tool to understand what slows them down
Identify the problems and turn them into clear requirements
Build a clear checklist based on your real needs and define how each tool will be evaluated
Research and shortlist tools that match your requirements
Test them using real examples from your daily work
Structure all findings in a framework and score the options.
A basic software evaluation starts with criteria such as budget, system integration, security, scalability, user experience, vendor support, and compliance.
Your Part
Participation in the kickoff meeting
Access to 2–5 team members for interviews
Feedback on the decision framework
Participation in the final presentation meeting
Willingness to question whether new software is even the right answer
Result
The outcome is a documented software recommendation based on your actual workflows, requirements, and evaluation criteria. You can clearly see why one option was selected over the others and what trade-offs were considered.
You'll get:
Shortlist of vendors

Vendor Comparison
It’s not about the software, it's about achieving the clarity needed for an informed decision.
Framework → Discovery (Interviews) → Requirements → Market research → Shortlist → Evaluation Decision.
Frequently asked questions:
What if we realize we don't actually need a new software?
That's a valid and a valuable outcome. If the evaluation shows that your current setup can work with some adjustments, or that the real problem is in the process rather than the tool, I'll tell you that.
Can you help with implementation after we choose a tool?
The selection framework focuses on making the right decision. If you'd like help setting up and configuring the chosen CRM afterward, we can discuss that as a separate project — scoped to your specific needs.
We've already narrowed it down to two or three options. Can you start from there?
Yes. If you already have a shortlist, we can skip the broad research phase and focus on structured evaluation of those specific tools against your real workflows. The framework still starts with understanding your needs — that part doesn't change.
How do you stay neutral? Do you have partnerships with any CRM vendors?
No partnerships, no affiliate deals, no preferences. The recommendation is based entirely on what fits your team. If a free tool with a spreadsheet does the job, that's what I'll recommend.
